W-2GS, CASINO REPORTS, AND YOUR RETURN — HOW IT ALL TIES TOGETHER

You don't need to be an accountant to understand this. Here's gambling tax reconciliation explained like you've never seen a W-2G before.

THE SHORT VERSION

Step 1

W-2GS & STATEMENTS

Every W-2G, win/loss statement, and 1099 you upload gets read and sorted by book and tax year.

Step 2

CASINO & SPORTSBOOK REPORTS

Each W-2G is checked against that book's own reported activity — does the casino's number match yours?

Step 3

SESSION TOTALS

Everything ties into one reconciled winnings/losses figure per book — no double-counting, nothing missing.

Step 4

TAX RETURN

The 90% rule is applied to the real, reconciled number — the figure your CPA actually files with.

If a W-2G doesn't match what a casino reported — or a book's statement is missing entirely — it never silently disappears into the total. It's flagged as an exception you (or your CPA) resolve before the return is filed.

WHY THIS MATTERS AT ALL

A W-2G is a form a casino or sportsbook sends you (and the IRS) when you hit a big enough win. A win/loss statement is that same book's own year-end summary of everything you did — every bet, every session. On their own, these documents don't check each other. If a W-2G says you won $8,700 on January 18th but the casino's win/loss statement doesn't clearly reflect that win, that gap is exactly what an audit looks for.

"Reconciling" just means making sure every number that's supposed to match, actually does — and flagging, loudly, the ones that don't.

THE SIX STEPS, IN PLAIN ENGLISH

1

GATHER EVERY DOCUMENT

Every W-2G you were handed or mailed, the annual win/loss statement from every casino and sportsbook you played at, and any 1099s. Missing even one book skews the whole picture — the IRS already has a copy of every W-2G, whether you report it or not.

2

UPLOAD IT — WE SORT IT AUTOMATICALLY

Drop every file in. LedgerWager reads each one and figures out which book it's from, what kind of document it is, and what period it covers — you don't have to label anything by hand.

3

REVIEW WHAT IT FOUND

Each document shows up with the numbers we read off it. Open it, check it against the actual file, and approve it. Nothing counts toward your total until you've looked at it — no silent auto-accepting.

4

WE CHECK EVERYTHING AGAINST EVERYTHING

Every W-2G gets compared to that book's win/loss statement. If a casino's report doesn't cover what a W-2G says, or a book you told us you played at has no statement on file yet, it shows up as a flagged exception — not a guess, not a gap that quietly disappears.

5

SEE YOUR REAL NUMBER

Once everything's reconciled, we apply the current 90% loss-deduction rule to your actual, verified totals — not an estimate — so you know your real taxable gambling income before your CPA ever sees it.

6

HAND YOUR CPA A PACKAGE, NOT A SHOEBOX

One download: your documents organized by type, the totals, and a plain report showing exactly how every W-2G matched up. Your CPA reviews and files — you've already done the organizing.

WHAT "CPA-READY" ACTUALLY MEANS

A delivery package a CPA can actually open and trust, rather than review from scratch, includes:

  • Every source document, organized by type — W-2Gs and 1099s separate from win/loss statements, separate from bank records
  • A reconciliation report showing each book's W-2G total lined up against its win/loss statement — matched or flagged
  • A plain list of anything that still needs attention before filing, not buried in a paragraph of notes
  • The final numbers, computed under the current 90% rule, ready to drop onto the right form line

This is general information about how gambling-tax document reconciliation works, not tax or legal advice for your specific situation. Talk to a licensed CPA before filing.
